These Terms and Conditions apply to bookings for Circle of Life Rediscovery CIC training, including longer, accredited or qualification courses and short courses, CPD and non-accredited training.
Please read them carefully before completing your booking. Where different payment or cancellation arrangements apply to a particular course, these will be made clear at the time of booking.

1. Agreement and bookings
When Circle of Life Rediscovery CIC accepts your booking, a binding agreement is formed between Circle of Life Rediscovery CIC and the person or organisation making the booking, subject to these Terms and Conditions.
A booking is confirmed when:
By submitting a booking, you are entering into a contract with Circle of Life Rediscovery CIC and agree to pay the fees associated with that booking in accordance with these Terms and Conditions.
Where a booking is made on behalf of another participant or group, the person making the booking is responsible for ensuring that participants are made aware of any relevant information, requirements and Terms and Conditions.
Circle of Life Rediscovery CIC reserves the right to decline a booking where there is a reasonable operational, safeguarding, suitability or capacity reason for doing so. Where we decline a booking before the service has commenced, any course fees or deposits already paid will be refunded.
2. Course places
Once we confirm your booking, a place will be reserved for you on the specified programme, course, training or event.
Places on many of our courses are limited. Once a place has been reserved, we may be unable to offer it to another participant. Participants should therefore contact us as soon as possible if they believe they may be unable to attend.
3. Fees and payment
A. Longer, accredited or qualification courses
Unless otherwise stated, the deposit for accredited professional training courses is £200. The amount of any deposit and the total course fee will be made clear at the time of booking.
Full payment must normally be received no later than 60 days before the course or programme start date unless an alternative payment arrangement has been agreed by Circle of Life Rediscovery CIC in writing.
Deposits secure a place and contribute towards the administration and commitments involved in accepting and maintaining a booking. Where a participant chooses to cancel, the deposit will normally be retained where this reasonably reflects costs or losses arising from the cancellation.
Where a participant is undertaking an accredited programme and does not complete their work by the agreed submission date, an extension or re-registration fee may apply in accordance with the relevant extension policy. The current re-registration fee is £120 unless otherwise stated. Any applicable extension, assessment or re-registration requirements will be explained separately.
B. Short courses, CPD and non-accredited training
Full payment is normally required at the time of booking to secure a place. No deposit is required for short courses, CPD programmes or non-accredited training unless different arrangements are clearly stated at the time of booking.
Where Circle of Life Rediscovery CIC agrees to invoice an organisation, payment is due within 14 days of the invoice date unless otherwise agreed in writing. Where the course takes place sooner than this, payment must normally be received before the course begins.
Failure to make payment by the agreed date may result in the booking being treated as cancelled.
4. Participant cancellations
Cancellations must be made in writing by email or letter. Cancellation takes effect on the date that Circle of Life Rediscovery CIC receives the written notification.

How cancellation charges are calculated
Cancellation charges are intended to reflect the costs and losses that Circle of Life Rediscovery CIC may reasonably incur as a result of a cancellation. These may include where relevant:
Where we are reasonably able to fill the cancelled place or otherwise reduce our loss, we may take this into account when determining the amount retained. Nothing in this clause affects your statutory rights.
5. Amendments, transfers and deferrals
We will endeavour to accommodate reasonable requests to amend a booking, but amendments cannot be guaranteed. Unless Circle of Life Rediscovery CIC confirms a change in writing, the original booking remains in place.
A request to move a booking to a later programme, course or date is treated as a deferral or transfer, rather than a cancellation and new booking. Deferrals and transfers are offered entirely at the discretion of Circle of Life Rediscovery CIC and are subject to availability.
Where a participant asks to withdraw from a course at a point when a cancellation charge has already arisen, but Circle of Life Rediscovery CIC agrees instead to transfer their booking to a future course, the transfer is offered as an alternative to cancellation.
Agreeing a deferral or transfer does not waive, cancel or reset any cancellation charge or non-refundable amount which had already arisen in connection with the original booking. Payments that had already become non-refundable may instead be carried forward as credit towards the agreed replacement course.
If a participant subsequently decides not to attend the deferred course, amounts which were already non-refundable under the original booking will remain non-refundable.
Unless otherwise agreed in writing, a booking may normally be deferred once only. Any second or subsequent deferral is exceptional and entirely at the discretion of Circle of Life Rediscovery CIC.
6. Illness and exceptional personal circumstances
We understand that illness, bereavement and other unforeseen circumstances can sometimes prevent attendance. Our normal cancellation terms continue to apply in these circumstances.
However, depending on the circumstances and availability, Circle of Life Rediscovery CIC may choose to offer an alternative arrangement such as:
Any such arrangement is discretionary and will be confirmed in writing. Participants may wish to consider appropriate insurance where significant course, travel or accommodation costs are involved.
7. Replacement participants
Where appropriate, we may allow a participant who cannot attend to nominate another person to take their place. Any replacement participant must meet relevant entry, qualification, suitability, safeguarding or professional requirements associated with the course. Any substitution must be agreed by Circle of Life Rediscovery CIC in advance.
8. Cancellation or changes by Circle of Life Rediscovery CIC
We will make every reasonable effort to deliver courses and programmes as advertised. It may occasionally be necessary to change a trainer, location, timetable, activity or other element of a programme. Where the essential nature of the programme is unaffected, reasonable changes of this kind will not normally constitute cancellation of the booking.

Where Circle of Life Rediscovery CIC cancels a course and is unable to provide the booked service, we will normally offer participants:
Where Circle of Life Rediscovery CIC cancels the entire booking and no equivalent service is provided, any course fees and deposit paid for that booking will be refunded. We will notify participants as soon as reasonably possible.
Subject to applicable law, Circle of Life Rediscovery CIC cannot normally reimburse additional travel, accommodation or other consequential expenses incurred by participants. Participants are encouraged to consider appropriate travel or cancellation insurance.
9. Minimum participant numbers
Some courses require a minimum number of participants in order to run safely and sustainably. Circle of Life Rediscovery CIC therefore reserves the right to postpone or cancel a programme where minimum numbers have not been reached. Where we cancel for this reason, the provisions in section 8 will apply.
For group bookings, amendments that would reduce the group below an agreed minimum number may be subject to the original agreed fee unless otherwise agreed in writing.
10. Events outside our reasonable control
Circle of Life Rediscovery CIC will not be responsible for failure or delay in performing its obligations where this results from circumstances outside our reasonable control.
These may include, for example:
Where circumstances outside our reasonable control prevent a programme from proceeding, we will make reasonable efforts to provide an appropriate alternative, rearrangement or refund depending on the circumstances and the services that have already been provided or costs reasonably incurred. Nothing in this section affects rights which cannot legally be excluded.
11. Insurance
Circle of Life Rediscovery CIC maintains £10 million public liability insurance appropriate to its activities. Details of current insurance cover are available on request.
Participants remain responsible for arranging any personal travel, cancellation, equipment or other insurance they consider appropriate.
12. Health, medical information and accessibility
Participants are responsible for providing us with relevant information about medical conditions, allergies, access requirements or other matters which may reasonably affect safe participation. This information should be provided before the programme begins and updated if circumstances change.
Providing this information enables us to consider appropriate reasonable adjustments and support. Circle of Life Rediscovery CIC will take reasonable steps to make our activities accessible and inclusive. However, some outdoor environments and activities may have practical limitations, and participation in a particular activity may sometimes need to be adapted for safety reasons.
Participants should contact us before booking if they would like to discuss access or support requirements.
13. Outdoor activities and risk
Many Circle of Life Rediscovery CIC programmes take place outdoors and may include physical, adventurous or practical activities. Outdoor environments such as woodland contain inherent risks, including uneven ground, weather, vegetation, water, tools, fire, insects and other natural hazards.
Circle of Life Rediscovery CIC manages these risks through appropriate risk assessments, qualified or competent staff, supervision, safety procedures and participant briefings.

Nothing in these Terms and Conditions excludes or limits Circle of Life Rediscovery CIC’s liability where it would be unlawful to do so, including liability for death or personal injury caused by our negligence.
14. Participant behaviour
Participants are expected to behave in a way that supports a safe, respectful and inclusive learning environment.
Circle of Life Rediscovery CIC may take reasonable action where a participant’s behaviour:
Where appropriate, we will normally seek to discuss concerns with the participant before excluding them. However, Circle of Life Rediscovery CIC reserves the right to require a participant to leave immediately where this is reasonably necessary for safety, safeguarding or the welfare of others.
Whether any refund is due will depend on the circumstances, services already provided and costs or losses reasonably incurred.
15. Photography, video and recordings
We may invite participants to give consent for photographs, video recordings, audio recordings or quotations to be used in connection with Circle of Life Rediscovery CIC’s work. This may include use for:
Participation in photography or recording is optional unless a particular recording forms an essential and clearly disclosed part of the programme.
Where consent is relied upon, participants may contact us if they wish to withdraw that consent for future use. Withdrawal cannot necessarily affect materials which have already been lawfully published or distributed. Our handling of personal information is also governed by our Privacy Policy.
16. Personal information
Personal information supplied in connection with a booking will be handled in accordance with applicable data-protection law and our Privacy Policy.
We will only ask for information which is reasonably relevant to administering the programme, communicating with participants, safeguarding, safety, accreditation where applicable, evaluation or other legitimate organisational purposes. Medical and other sensitive information will be handled with appropriate care and confidentiality.
17. Complaints
If a participant has a concern or complaint, we encourage them to raise it with a member of the Circle of Life Rediscovery CIC team as soon as possible so that we have an opportunity to resolve the matter.
Where the issue cannot be resolved informally, a complaint may be made in accordance with our Complaints Procedure and by contacting [email protected].
We ask participants, wherever reasonably possible, to raise complaints promptly and preferably within 28 days of the relevant programme or incident so that the matter can be investigated effectively. This requested timeframe does not remove or restrict any statutory or legal rights.
18. Changes to these Terms and Conditions
The Terms and Conditions applying to a booking are normally those provided or made available when the booking is made. Circle of Life Rediscovery CIC may update its Terms and Conditions from time to time for future bookings.
We will not make a material change to an existing participant’s contractual rights after a booking has been accepted unless:
19. Consumer rights
Nothing in these Terms and Conditions is intended to exclude, restrict or replace any rights available under applicable UK consumer law.
Some bookings for activities taking place on a specified date or during a specified period may not carry the usual statutory 14-day cancellation right that applies to some distance contracts. Any statutory cancellation rights which do apply will take precedence over these Terms and Conditions.
